The opportunity

We are looking for our next phenomenal team member for the role of Client Service Administrator. Reporting to the Administrator Supervisor, this role will be highly customer-service focused and require a warm, professional presence. As the cornerstone of our front office, this person will be a natural at managing priorities, paying attention to the small details, and providing excellent service to clients and the Alitis team. The ideal candidate will be someone with a can-do attitude, a collaborative demeanour, and a goal to grow in the financial industry. Your work will be varied and will often have competing priorities. This role will interact daily with clients and other stakeholders, and the ideal candidate will thrive in a fast-paced environment and expertly handle the fluctuating workloads.

A day in the life…

● Manage daily client communications by phone and email
● Provide efficient, timely administrative support to the portfolio management team
● Coordinate client appointments and other office-related services
● Process client documentation, including opening accounts, non-financial updates, pension transfers, estate work, and corporate accounts
● Process client orders and trade execution with 100% accuracy
● Take ownership of record maintenance and data reconciliation through CRM software, trading systems and reporting systems
● Provide outstanding customer service in all interactions with both internal and external stakeholders, clients, and vendors
● Ad-hoc administrative tasks as required by the office or portfolio management team

What you bring

● At least one full year working in the financial services industry or similarly regulated industry
● Confidence to speak with clients, colleagues and vendors in person, by phone or by email
● Excellent customer service skills
● Experience working with Microsoft Office products, including Microsoft Teams
● Prior working experience with CRMs and/or trading and reporting systems
● Past experience with Salesforce specifically will be considered an asset
● Desire to pursue additional designations (i.e. CIM, CFP, CFA or LLQP) in the financial services industry will be considered an asset
● Excellent organizational and time management skills, with the ability to work to tight deadlines in a fast-paced environment
● Ability to problem solve, use good judgement, and maintain confidentiality

Compensation

$50,000 to $55,000, annual salary
Alitis Investment Counsel also offers a competitive salary, team bonus, paid time off, and a comprehensive group benefits program, including an employer-funded group RRSP.

The opportunity

We are currently seeking an accomplished administrative professional to step into the shoes of our current supervisor going on maternity leave. This role will focus on setting an example for top-rated customer service skills, utilizing natural administrative abilities, and fostering authentic but professional management and oversight to the Client Services team. The ideal candidate will have prior experience in hiring and training new staff, establishing a healthy work culture while providing conflict resolution as needed, and understanding the intricacies of the financial services and its compliance requirements.

Reporting to the Head of Private Client, our next Administrator Supervisor will lead the team members performing private client administration and reception. You will be the backbone of our front office and strive to ensure a seamless, positive experience for your team, management and, most importantly, our clients.

A day in the life…

● Oversee and lead the client administrator and reception operations
● Monitor administrative team’s workload to allow for fair, manageable work allocation
● Maintain open communication with advisors and Alitis management regarding team capacity
● Approve and coordinate time-off requests for the client administration team
● Take ownership of hiring and training new administration members as required, including onboarding
● Provide support for career growth and development to the administration team, including conducting performance reviews
● Create, implement and document new processes as required
● Review and improve current processes as required
● Oversee corrections process and approve a certain range (LOI)
● Ensure open workflow and optimized processes between front and back office
● Track and report fairly and accurately on administrative work to management teams
● Cultivate a positive but professional work culture
● Ad-hoc administrative support when required

What you bring

● 3-5 years’ working experience in the financial services industry or similarly regulated industry in an administrative capacity
● 3+ years’ team management experience in a busy office environment
● Comfortable working on a contract basis
● Willingness to travel to our other locations (Comox and Victoria) as required
● Prior working experience with CRMs and/or trading and reporting systems
● Prior experience in HR practices (hiring, onboarding, etc.) will be considered an asset
● Strong conflict resolution skills, especially in a workplace
● Exceptional attention to detail and keen ability to work efficiently but accurately
● Excellent organizational and time-management skills, with the ability to work to tight deadlines in a fast-paced environment
● Ability to problem solve, use good judgement, and maintain confidentiality
● Confidence to speak with clients, colleagues and vendors in person, by phone or by email
● Excellent customer service skills
● Professional conduct and ability to communicate clearly in writing
● Experience working with Microsoft Office products, including Microsoft Teams

Compensation

$62,500 to $65,000, annual salary
15-month maternity leave contract, with the possibility of an extension
